HOW IT WORKS

Pre-event

Once your on-line entry has been accepted, the main contact will be sent an email, containing all the documents that need to be completed, information about the event, together with a time table of what will happen once you've arrived in Llandeilo..

This will include:-

Bike and vehicle check list.

Human nature being what it is, people often leave things to the last minute. Bikes and vehicles need to be ready to go when you arrive in Llandeilo, which is why the vehicle and bike signage will be with the Crew Chief or Main Contact 10 days before the event.

The Bike & Vehicle Signage will be delivered by courier

This will ensure you arrive free from the stress of having to prepare bikes and vehicles.  As a result, the pre-event inspection should be a straightforward process. A note of caution however! No rider will be allowed to compete if any of the necessary safety details are missing from either bike or vehicle.

Rider and Crew Agreement and Waiver Documents.

These will need to be signed and returned to Race HQ at least two weeks before the event.

Communication information (how HQ will communicate with riders & crew)

WhatsApp will be the main communication platform during the event, although mobile phones will also be used when necessary. There are a couple of communication blind spots along the route and it's highly recommended that crews hire a satellite phone for the weekend in case of emergency. Individual GPS trackers will be issued to each crew chief to enable Race HQ and the wider public to follow progress on social media.

Time Station Procedures.

There are 8 time stations around the route. Crew chiefs will WhatsApp to Race HQ the time of arrival at each Time Station. Some Time Stations will be manned, so please acknowledge the volunteers there.  Of most importance is the necessity to reset your vehicle odometer to maintain mileage accuracy as you progress along the route. The route book provided reverts to zero mileage at each time station and this ensures that the navigator can keep track of distance covered more easily and accurately. Vehicle odometers are notoriously inaccurate and are more so the further you travel.

How the bike and vehicle check will be handled by race officials.

The introductory email will contain all the information you will need. You will be notified well in advance of where and when bike and vehicle scrutiny will take place. There will be volunteer race officials carrying out these checks and It's important to emphasise yet again the importance of being on top of detail.

Rider/Crew briefing times and location

All solo riders and at least one rider and crew member from team entries must attend. Again, you will be notified well in advance of the location of the briefing.

Start Times

 Solo Entries

Riders will leave Llandeilo at 2 min intervals on the evening of Friday 12 May at 1900hrs (7.00pm).

Sunset is at 2100hrs and this will give riders plenty of time to cross The Black Mountains before darkness descends.  This will allow them to get up to Newtown and beyond during darkness and then enjoy the most beautiful parts of the route by day. Faster riders will be back in Llandeilo early on Sunday morning.

Teams

These will depart from 0800hrs on Saturday 13 May.

Each team will leave at intervals of 2-5 minutes depending on entry numbers
